Executive Secretary Studies
The courses in Executive Secretary are all at Diploma Level and, like the Professional Secretary Courses, students can choose to specialise in one of four fields, namely that of Finance, Human Resources, Marketing and Information Management. Students who enrol for one of these courses are therefore required to complete the subjects prescribed at Certificate Level before they continue to the subjects at Diploma Level.
Executive Secretaries - also called Executive Assistants, Administrative Assistants or Associates - have countless administrative duties. Their task is similar to that of a Professional Secretary, but they have much more responsibilities as they work directly for a company's Executive or CEO.
As the job description of an Executive Secretary is so diverse, the qualities needed for this profession are also widely ranged. They would include the following abilities: making decisions, implementing new technology, taking the initiative, working with people, taking the lead, keeping an open mind, working under pressure, making sense out of chaotic situations, negotiating deals, participating in group discussions, setting priorities, handling correspondence, keeping files and records up to date, taking minutes, preparing documents, proofreading, coordinating activities, etc.
When it comes to specialising in a specific field, students would use and implement all the above mentioned qualities to perform that specific function. An Executive Secretary in Finance would for instance be required to create budgets, purchase stock, regulate a company's expenditure and do bookkeeping. When you specialise in Human Resources, students would develop skills in recruiting and management. They'll discover the process of screening applicants, testing prospective employees and placing staff in an organisation. The difference between an Executive Secretary in Finance and an Executive Secretary in Human Resources would therefore be that in Finance the focus is on the financial status of an organisation and all the processes relating to it, whereas in Human Resources attention is given to company policies and procedures by which employees are appointed and remunerated. When students choose to specialise in Marketing, they would perform office and administrative support functions such as advertising and developing the promotional information of their company. Communication also plays an integral part of Executive Secretaries in Marketing's job, as they are responsible for all correspondence with a company's clients and staff. Staying in touch with what the client's needs are and how to convey this to staff, is central to running a successful business. When you specialise in Information Management, the focus is on managing a company's projects. These would include projects relating to Information Technology, Communication, Financial, Marketing and Human Resources. The difference between an Executive Secretary in Marketing and an Executive Secretary in Information Management would therefore be that in Marketing the focus is on advertising and promoting an organisation, whereas in Information Management attention is given to the way in which various projects within an organisation are run and coordinated.
